Add staff and schedules

Your staff are the team members who perform services and take appointments. Adding a staff member is a two-part job: create the person, then give them working hours — and, so clients can actually book them, assign them to the services they perform.

If you've renamed "staff" under Terminology, you'll see your word (e.g. "tutors", "providers") in the menus.

Add a team member

  1. Go to Staff in the sidebar and click Add Staff Member.
  2. Fill in the form:
    • First Name and Last Name — required.
    • Email and Phone — optional.
  3. Click Add Staff Member to save.

A few things to know:

  • Adding a staff member does not send them an invitation or sign-in. It creates a record you manage; they don't need to log in to be scheduled.
  • To change someone later, click Edit on their row. The edit form adds an Active checkbox — unchecking it hides the person from booking while keeping them in your list (shown as Inactive).

Set their weekly hours

  1. On the Staff list, click Schedule on the person's row. This opens their Weekly Availability.
  2. For each day of the week, tick Available and choose a Start and End time. Leave a day unticked to mark it off.
  3. Click Save Schedule.

If you reduce someone's hours or remove a day, you may see a yellow warning that existing appointments outside the new hours could be affected. It's a heads-up, not a block — review those appointments if needed.

Add time off or a one-off change

On the same schedule page, under Schedule Overrides:

  1. Click Add Override.
  2. Pick a Date.
  3. Either tick Unavailable entire day (for a day off), or leave it unticked and set a Start Time and End Time for different hours that day.
  4. Optionally add a Reason (e.g. "Vacation").
  5. Click Add Override.

Overrides take precedence over the weekly hours for that date. Remove one with Delete.

Make sure they're bookable

This is the step that's easy to miss. A staff member is only offered for online booking when all of these are true:

  1. They're Active.
  2. They have weekly hours set (at least one available day).
  3. They're assigned to at least one service.

Service assignment lives on the Services page, not here: go to Settings → Services, find the service, and use the Staff button on its row to assign who performs it. See Set up your services.
