Clients
Your clients are the people you serve. The Clients area keeps their contact details and a running set of notes. Go to Clients in the sidebar.
If you've renamed "client" under Terminology, you'll see your word (e.g. "students", "patients") throughout.
Find a client
The list shows each client's Name, Phone, Email, and when they were Created / Updated. Use the Search by name or phone… box to filter, and the sortable columns and paging to navigate. Click a name to open their profile.
Add a client
- Click Add Client (top-right).
- Fill in the form:
- First Name and Last Name — required.
- Phone — required (it's how clients are kept unique).
- Email — optional.
- Click Add Client.
If you enter a phone number that already belongs to a client, you'll see "A client with this phone number already exists." — search for that client instead of creating a duplicate.
A client's profile
Open a client to see:
- Contact details and when they became a client, with Edit to update their name, phone, or email (Save Changes when done).
- Visits, No-shows, and Last Visit stats. Visit history fills in as appointments accumulate — until then you'll see "No visits recorded yet."
- Notes — see below.
To stop showing a client without losing their record, use Deactivate (and Activate to bring them back).
Notes
Notes are a running log on a client — allergies, preferences, follow-ups.
- In the Notes section, type into the note box.
- Optionally tick Mark as important to highlight it.
- Click Add Note.
Notes are append-only: once added they can't be edited, only Archived (use Show archived to view past ones). Important notes are highlighted so they stand out. Each note records who wrote it and when.
